Data Clean Up & Migration to Nonprofit Cloud

How we helped a Creative Arts Center accurately track their data

The Client:

A Creative Arts Center that welcomes children, teens and adults to develop skills in a variety of art forms, nurturing self-esteem, building character and cultivating an appreciation of the diverse cultures within a large metropolitan area.

The Challenge:

The organization uses a number of siloed applications for Program Tracking, Donation Management and Email Marketing to service their customers. This resulted in messy data and a lack of confidence by the organization. They also had an existing NPSP Salesforce instance used only by the Development team with limited data.

The Solution:

A review of applications and their data was performed by Baywood Consulting to develop a data migration plan. The data from siloed applications (including the NPSP org) was exported, de-duped and cleaned. It was then loaded into a new Nonprofit Cloud Salesforce org to provide the organization with a single location to view all family, student and donor data.

The Results:

The organization has a single unified view of all constituent, program and donor data, with confidence the data is accurate. Multiple teams have now adopted Salesforce as their primary tool. The organization is now poised to work with Baywood Consulting to begin leveraging the AI features of the Nonprofit Cloud.

Salesforce Implementation & Customization

How implementing a Salesforce solution increased funding for a Youth and Community Outreach org

The Client:

A Youth & Community Outreach Organization with a focus in community service and various programs

The Challenge:

This nonprofit organization was struggling to manage its outreach and community service programs using paper-based methods. Their approach made it nearly impossible to track fieldwork or community service hours. The lack of reporting artificially constrained the organization’s growth.

The Solution:

Baywood Consulting took the time to thoroughly understand the nonprofit's business model and built a series of custom objects to support their Outreach and Community Service programs. Using Salesforce, we customized the platform to track outreach services (e.g. meals or individual counseling), while keeping the data capture process simple for field workers. We also customized Salesforce to track community service hours served by defendants against their court-ordered community service.

The Results:

The end result was a fully customized Salesforce application that organized the nonprofit’s work efficiently and effectively. This new system not only streamlined their internal processes but also enhanced their reporting capabilities, allowing them to secure a 37% increase in funding from the county due to improved data transparency and accountability.

Application and Data Consolidation into Salesforce

How a Community Organization expanded its reach by streamlining its workflow

The Client:

A Community Organization dedicated to the well-being of individuals and families and to having a positive effect on the fabric of the community

The Challenge:

This nonprofit organization had expanded over time, resulting in the use of more than 12 different applications to manage its operations. However, this growth led to siloed data across various systems, making it difficult to view program delivery, fundraising, and constituent information in a single report. To gain a comprehensive view, staff had to manually merge CSV files, which was time-consuming.

The Solution:

Baywood Consulting conducted a thorough review of all the applications to determine which could be replaced by Salesforce's Nonprofit Cloud functionality. After this assessment, we developed and executed on a plan to consolidate the existing data and applications within Salesforce, allowing the organization to streamline its technology stack and replace redundant systems.

The Results:

By dramatically simplifying the technology stack, the organization was able to expand the delivery of its programs more efficiently. Additionally, with improved reporting capabilities, they provided better data to their donors, which helped them surpass a significant funding milestone.
